What you’ll be doing:
As the Business Support Coordinator, you will provide direct support to our General Manager of Engineering and Maintenance . You will implement policies and procedures to enhance organizational efficiency ensure the smooth operation of the Engineering office. This will be via diary management, travel planning, report compilation and providing general administrative functions. It’s a role where no day is ever the same.
Due to the nature of this position, we will require the successful candidate to work daily onsite at our Virgin Australia Hangar
Responsibilities of this role will include but not be limited to:
- Provide direct administrative report to the General Manager of Engineering and Maintenance
- Compile and prepare detailed reports efficiently and accurately
- Ensure peak organizational operations and implement preventative measures to address potential issues
- Coordinate internal and external resources, fostering strong relationships.
- Maintain office efficiency by organising procedures, managing file systems, and overseeing supplies and equipment.
- Act as the main point of contact in the reception area and keep management informed via performance reports.
- Provide direct administrative support as needed, including scheduling appointments, maintaining file systems, and updating contact databases.
- Manage travel and accommodation arrangements for the GM and team, as well as contractors and guests.
- Manage space/infrastructure planning and provide support for ad hoc projects.
- Provide broader GM administrative support, including assistance to Engineering Departments Australia-wide.
- Manage diary appointments and coordinate personal and business meetings.
- Screen telephone calls and manage communication flow to teams.
- Prepare and process correspondence and manage travel arrangements for the leadership team and clients/guests.
- Process accounts, prepare expense claims, and complete other administrative duties as required.
- Provide administrative and logistical support to ensure effective operations.
- Assist the management team and direct reports in various undertakings.
- Build strong relationships with stakeholders and manage time commitments effectively.
- Prepare agendas and minutes for meetings and assist in drafting communications materials.
- Stay informed about organisational strategy, projects, and tasks.
Who we’re looking for:
- Previous operational administrational experience and record keeping in a fast paced environment
- A demonstrated self-starter who can work autonomously or in a team
- Intermediate Microsoft Office skills (Excel,Word and Powerpoint)
- A high level of attention to detail
- Excellent organisational and time management skills
- Strong communication skills – written and oral
- The ability to work towards deadlines and adapt to changing priorities
- Stakeholder engagement skills across diverse demographics, locations and business levels.
- A demonstrated understanding of Virgins operational procedures
